OnBuy channel integration

Integrating OnBuy with Avasam lets you download orders, as well as controlling stock levels and prices.

Avasam can be integrated with one or more OnBuy accounts to download orders, and update listings with stock levels.

The list of sales channel integrations has 4 columns:

  • The logo represents the type of channel integration.
  • The type of channel integration.
  • The name of the specific channel integration.
  • The status of the integration - yes/blue is enabled, no/grey is disabled.

New sales channel integration

To create a new sales channel integration, you'll need some details from your OnBuy account. These can be found in your OnBuy Seller Control Panel.

Click on 'Listing & Products', select 'Imports & Integrations' and then click the 'OnBuy API' button.

Follow these steps to integrate with Avasam, looking up and copying the values:

  1. Open ‘Settings’.

  2. Select ‘Sales channel integration’.

  3. Click the ‘Add sales channel’ button.

  4. Click on the ‘Add’ button next to ‘OnBuy’.

  5. Enter the name for this integration.

  6. Click ‘Next’ to continue.

  7. Enter the name of your OnBuy account.

  8. Click ‘Next’.

  9. Enter your Onbuy Seller ID.

  10. Enter your Onbuy Seller Entity ID.

  11. Choose the correct Onbuy Site ID from the dropdown list.

  12. Enter your Onbuy Consumer Key.

  13. Enter your Onbuy Secret Key.

  14. Click ‘Next’ to continue.

You will be returned to the sales channel list in Avasam, with a new row added for your new integration.

tip

Ensure that your channel has stock updates enabled to ensure that your listings don't oversell.

  1. Click on the channel name.
  2. Click on additional settings.
  3. Toggle the switch for stock update to yes.
  4. Click save.
tip

Please note: Only use live OnBuy keys for the integration, or you will receive an error.

Disable channel integration

When you create new channel integration, it is automatically enabled and active.

To disable the integration to stop it downloading orders and updating listings temporarily:

  1. Open ‘Settings’.
  2. Select ‘Sales channel integration’.
  3. Locate the integrated sales channel to disable.
  4. Click the status switch to toggle it from ‘Yes’/active to ‘No’/disabled.
  5. The channel will be disabled.

Enable channel integration

When you create new channel integration, it is automatically enabled and active. You, or someone else, may temporarily disable it.

To re-enable the integration to resume downloading orders and updating listings:

  1. Open ‘Settings’.
  2. Select ‘Sales channel integration’.
  3. Locate the integrated sales channel to enable.
  4. Click the status switch to toggle it from ‘No’/disabled to ‘Yes’/active.
  5. The channel will be re-enabled.

Remove channel integration

If you no longer wish to have Avasam connected to a sales channel, it can be easily removed. Once deleted, you will need to re-create the integration from scratch should you choose to re-use it.

To remove channel integration:

  1. Open ‘Settings’.
  2. Select ‘Sales channel integration’.
  3. Locate the channel integration you want to remove.
  4. To open the integration, click the name.
  5. Click the red ‘Remove account’ button.
  6. Click ‘OK’ to confirm.
  7. You will be returned to the list of channel integrations.
tip
  • Click ‘Cancel’ if you decide to not delete the integration.
  • If you delete integration and then reintegrate the same channel, the analytics and reports will not recognise orders from the two integrations as being from the same site.

Update/verify channel integration

If Avasam is having issues downloading from updating a sales channel, it can be easily checked. In ‘Settings’, select ‘Sales channel integration’ to ensure that you are connecting to the correct website end point.

To update/verify channel integration:

  1. Locate the channel integration.
  2. Click the name to open the integration.
  3. Click ‘Reauthorise’.
  4. Click ‘Save’ to apply any updates/changes.
  5. You will be returned to the list of channel integrations.

Excluding non-Avasam orders

Avasam can download orders for products not linked in Avasam - This is useful if you don't immediately map listings after creating them. Alternatively, if you sell some of your own stock alongside Avasam orders, it can clutter up the order screen. Non-Avasam orders are deleted after 3 days if not for mapped products.

To avoid seeing those orders:

  1. In ‘settings’, select ‘sales channel integration’.
  2. Find the relevant channel integration and click its name to open the integration.
  3. Scroll down to the 'additional settings' section heading.
  4. Click on the 'additional settings' section heading to open up the settings menu.
  5. Set the exclude non-Avasam orders switch to off, or grey.
  6. Click ‘save’ to apply any updates or changes to Avasam.
  7. You will be returned to the list of channel integrations.
tip

You cannot make exclude non-Avasam orders and split orders with unknown SKUs active simultaneously, only one at a time can be active, or neither.

Splitting order containing Avasam and non-Avasam SKUs

Where some of your orders contain a mix of Avasam and non-Avasam products, this setting allows you to process the Avasam products and not import the unknown items. When set to no, you will only import these orders if exclude non-Avasam orders is set to no.

To enable this:

  1. In ‘settings’, select ‘sales channel integration’.
  2. Find the relevant channel integration and click its name to open the integration.
  3. Scroll down to the 'additional settings' section heading.
  4. Click on the 'additional settings' section heading to open up the settings menu.
  5. Set the split orders with unknown SKUs switch to on, or green.
  6. Click ‘save’ to apply any updates or changes to Avasam.
  7. You will be returned to the list of channel integrations.

OnBuy - Mapping product SKUs to the catalogue

This guide helps you map Avasam items to products on OnBuy.

Listing vs mapping

With Avasam you can map products directly to the OnBuy catalogue. However, to do this it requires the product to already be present in the OnBuy catalogue.

If the product does not exist in the OnBuy catalogue, then you will need to add it to their catalogue separately before it can be mapped back to Avasam (also known as listing). Currently, Avasam does not have an automated listing tool to add products to the OnBuy catalogue, so this must be done manually.

Mapping items to OnBuy

You can map items in your Avasam inventory to the matching products in the OnBuy catalogue using the barcode and OnBuy's OPC code to make the process quick and simple.

  1. Click on the listing manager entry to expand it.
  2. Click on the relevant OnBuy integration you want to use - this opens the OnBuy catalogue mapping tool. A list of all your sourced items are shown.
  3. To choose which product to list (you can search using the title or OPC/barcode among others), the product should show the blue cloud icon, this means it is not linked to another product already (green/grey tick), and it's not got any errors (Red exclamation mark).
  4. Click on the list button.
    1. The add to catalogue window opens.
    2. Click search to look up the product against the OPCs in OnBuy's catalogue, or by other fields like title. You may get more than one result.
    3. Select the shipping service you wish to use for this product.
    4. Check the price is correct before you continue.
    5. Click on the URL button to open the product in OnBuy and check if it is definitely the right product.
    6. If you have setup delivery templates in your OnBuy account, these can be selected from at the bottom of the window. This should default to Avasam shipping settings.
    7. You can change the condition of the product you'll be offering from New, if required.
  5. Click the create button for the item you want to map the product to on OnBuy to create an entry for you to sell the product using the specified price
  6. You should receive a green confirmation message, and the blue cloud for the product will become a green tick - This tick may take a few minutes to update.
    1. If an error is returned, review it and either update your product, or contact support.
tip

If a product shows a grey tick, then it has been previously listed for your account without using Avasam.

tip

If an entry in the catalogue mapping screen has an orange exclamation mark by it, this means it can only be mapped by the brand owner. You cannot map this item.

tip

Changes made will only affect orders downloaded after new mapping is in place. It will not affect orders already in Avasam.

Listing items to OnBuy

When a product is not already present in the OnBuy catalogue, it must be added using their tools, as Avasam does not currently have an automated listing tool for OnBuy.

You need to use the OnBuy Product Wizard, or one of their import templates to add the product to the catalogue (you can export product information from Avasam as a CSV file).

Once listed, you will still need to map the new product(s) to Avasam as above to allow the orders to be synchronised and fulfilled by Avasam automatically.

Clearing or deleting SKU mappings for products

If you no longer wish to sell a product, you should delete the mapping from the product in Avasam to the OnBuy catalogue:

  1. Click on the listing manager entry to expand it.
  2. Click on the relevant OnBuy integration you want to use - this opens the OnBuy catalogue mapping tool. A list of all your sourced items are shown.
  3. To choose which product to list, you can search using the title or OPC/barcode among others. The product should show the green tick to show it's mapped already.
  4. Click edit.
  5. Click the X under delete.
  6. Click confirm to complete the deletion of the mapping.
  7. The icon for the product will change to a blue cloud.
tip

You cannot delete the mapping for a product listed outside of Avasam (showing a grey tick)

Updating the price on OnBuy

If setting prices manually, you can check and update the product price to be charged on the channel:

  1. Click on the listing manager entry to expand it if it has contracted.
  2. Click on the relevant OnBuy integration you want to check - this opens the OnBuy catalogue mapping tool.
  3. Locate the OnBuy channel you have integrated, and click on the listings button to the right hand side.
  4. Search for the product(s) by SKU or Title. It should now have a tick by it.
  5. Check the selling price value is correct. If you need to change it, remember to click the update button to apply it to the listing on OnBuy at next sync.

OnBuy shipping mapping

This guide ensures that Avasam can fulfil and invoice your OnBuy orders with the correct shipping services for the supplier.

If you want the shipping service paid for by the customer to automatically select the correct shipping provider and service when the order is downloaded to Avasam, then you will need to map the services from the site/channel to those in Avasam.

The ‘Shipping mapping’ section will list any existing mappings. You can open/expand the ‘marketplace to Avasam’ shipping mapping section by clicking on the arrow to the right of the title. This will open a new window that includes information about the available Avasam shipping services, and the services available on the integrated account.

If any services are already mapped, then they will be listed here.

Delete a shipping mapping

To delete a shipping mapping:

  1. Locate the service.
  2. Click the ‘X’ to the right of the service.
  3. Click ‘Save’ to apply the change.

Create a new shipping mapping

To create a new shipping mapping:

  1. Select the OnBuy shipping service to map under the ‘Sales channel shipping service’ drop down list.
  2. Select the Avasam shipping service to map this against under the ‘Avasam shipping service’ drop down list.
  3. Click map field.
tip
  • This will only affect orders downloaded after it is mapped.
    It will not affect orders already in Avasam.
