Settings The ‘Settings’ menu is where you can manage the configuration of your portal settings and account details.

Pricing rules

The pricing rules allow you to adjust the pricing of your sales channel listings automatically when the supplier updates their prices. The system can support multiple simultaneous rules.

When first logging into Avasam, you will find there are no rules present. If your filters are set incorrectly, you may also not see any. Pricing rules This can be corrected by either creating rules, or clearing/changing the filter. pricing rules full The list contains the following fields:

Field Description
Applies to (sales channel) This specifies the integrated sales channel type which this rule will be applied to.
Subsource This specifies the specific subsource which the rule will be applied to.
Type The type of rule.
Created on The time and date when the rule was created.
Status Whether the rule is active (Yes/blue) or disabled (No/grey).

Filter pricing rules

You can filter the list of rules using the ‘Filter’ menu. Dropdown menus can be used to choose:

  • Channel - Sales channel type, for example eBay or Amazon.
  • Type - Rule type.

Adding a rule

There are three kinds of rule available in Avasam:

  1. Add simple rule.
  2. Add advanced rule.
  3. Add formula.

Adding a simple rule

Simple rules have the capacity to make limited adjustments to the price of a product, but are quick to configure and will meet many seller’s needs. Adding a simple rule

  1. Click ‘Add new rule’.
  2. Select ‘Add simple rule’.
  3. Select the ‘Source’ (*)which the rule will apply to.
  4. Select the ‘Subsource’ (*)which the rule will apply to.
  5. To adjust the ‘Price’ field:
    a. Select the type of price adjustment in the ‘Price adjustment by’ dropdown.
    i. Fixed: Change the amount guided by the supplier by assigning a specific amount to it.
    ii. Percentage: Change the amount guided by a specified percentage for a variable increase.
    b. Specify the value.
  6. To adjust the ‘RRP’ field:
    a. Select the type of price adjustment in the ‘Price adjustment by’ dropdown.
    i. Fixed: Change the amount guided by the supplier by assigning a specific amount to it.
    ii. Percentage: Increase the amount specified by a certain percentage for a variable increase.
    b. Specify the value.
  7. By default, Avasam rounds up all prices to end in ‘.99’. a. To edit this, change the value under ‘Assign price decimals’.
  8. Select when the price adjustments will occur:
    a. Sync now: Update the prices immediately, and only once.
    b. Schedule:You can specify for these changes to be checked and applied on a daily or an hourly basis.
    i. Specify the time the sync occurs within the specified interval.
  9. When you make changes, the rule will show ‘Unsaved changes’. unsaved changes simple rule
  10. Saving the rule, offers 2 options:
    a. Send email notification: You will receive an email when the rule runs.
    b. Don’t send email notification: You will not receive an email when the rule runs.
  11. You will be returned to the list of price rules.
  • You can return to the rules list without creating a rule by clicking the ‘Cancel’ button, or the ‘Price rules’ link on the top left.
  • Fields marked with a red asterisk (*) are compulsory, and must be completed.

Adding an advanced rule

Advanced rules allow for more flexibility and complexity when applying adjustments to the price. Advanced rules

  1. Click ‘Add new rule’.
  2. Select ‘Add advanced rule’.
  3. Select the ‘Source’ (*)which the rule will apply to.
  4. Select the ‘Subsource’ (*)which the rule will apply to.
  5. You must create at least one row, each affecting a different price range.
    a. Select ‘Add new row’.
    b. Select the ‘From’ price.
    c. Select the ‘To’ price.
    d. Select the type of price adjustment in the ‘Price adjustment by’ dropdown.
    • Fixed: Change the amount guided by the supplier by assigning a specific amount to it.
    • Percentage: Change the amount guided by a specified percentage for a variable increase.

    e. Specify the value. f. Repeat if necessary.

  6. By default, Avasam rounds up all prices to end in ‘.99’.
    a. To edit this, change the value under ‘Assign price decimals’.
  7. Select when the price adjustments will occur:
    a. Sync now: Update the prices immediately, and only once.
    b. Schedule: You can specify for these changes to be synced and applied on a daily or an hourly basis.
    i. Specify the time the sync occurs within the specified interval.
  8. When you make changes, the rule will show ‘Unsaved changes’. unsaved changes advanced rule
  9. Saving the rule, offers 2 options:
    a. Send email notification: You will receive an email when the rule runs.
    b. Don’t send email notification: You will not receive an email when the rule runs.
  10. You will be returned to the list of price rules.
  • You can return to the rules list without creating a rule by clicking the ‘Cancel’ button, or the ‘Price rules’ link on the top left.
  • You can remove a row from the rule by clicking on the ‘X’ to the right of it, and confirming deletion.
  • Fields marked with a red asterisk (*) are compulsory, and must be completed.

Adding a formula

A formula allows for the greatest amount of flexibility, but involves a little more input in order to configure the adjustments it makes to the price. Add formula rule

  1. Click ‘Add new rule’.
  2. Select ‘Add formula’.
  3. Select the ‘Source’ (*)which the rule will be applied to.
  4. Select the ‘Subsource’ (*)which the rule will be applied to.
  5. You must create at least one formula row, each affecting a different price range.
    a. Select ‘Add formula’. Add formula button b. Name the formula.
    c. Specify the type of ‘Margin’ to be applied.
    i. Fixed: Change the amount of margin guided by the supplier by entering a value here.
    ii. Percentage: Change the amount of margin guided by the supplier in percentage terms by entering a value here.
    d. Specify the value. e. Specify the type of ‘Payment fees’ to be applied.
    i. Fixed: Change the amount of margin guided by the supplier by entering a value here.
    ii. Percentage: Change the amount of margin guided by the supplier in percentage terms by entering a value here.
    f. Specify the value.
    g. Specify the type of ‘Channel fees’ to be applied.
    i. Fixed: Change the amount of margin guided by the supplier by entering a value here.
    ii. Percentage: Change the amount of margin guided by the supplier in percentage terms by entering a value here.
    h. Specify the value.
    i. Specify the type of ‘Tax/Other fees’ to be applied.
    i. Fixed: Change the amount of margin guided by the supplier by entering a value here.
    ii. Percentage: Change the amount of margin guided by the supplier in percentage terms by entering a value here.
    j. Specify the value.
    k. Specify the minimum and maximum values that the rule can set (From/To).
    l. If the price should include the shipping cost, toggle ‘Add shipping cost’ to ‘Yes’.
    m. Repeat if necessary.
  6. By default, Avasam rounds up all prices to end in ‘99’.
    a. To edit this, change the value under ‘Assign price decimals’.
  7. Select when the price adjustments will occur:
    a. Sync now: Update the prices immediately, and only once.

  • You can remove a row from the rule by clicking on the ‘X’ to the right of it, and confirming deletion.
  • Fields marked with a red asterisk (*) are compulsory, and must be completed.

Deleting a rule

  1. Click on the ‘X’ to the right of the rule.
  2. Confirm that you wish to delete the rule by clicking on ‘OK’. Deleting a rule
  3. You’ll be returned to the list of rules.
  • You can choose to abort deletion by clicking the ‘Cancel’ button.

Shipping mapping

Mapping the shipping services between the selling channels and the shipping services provided by your suppliersensures that your customers get their orders as expected.

The list has the following fields:

  • Seller shipping services: Enter the name of the shipping service.
  • Supplier shipping services: Select from the available services in the dropdown list.
  • Charge: Shows the charge for using this service with the supplier.
  • Default: One mapping can be marked as the default service by ticking it. The default service will be used in listings unless the customer takes the option to upgrade.
  1. In the ‘Shipping mapping’ window, find the shipping provider.
  2. Click the ‘Add shipping’ button.
  3. A new row will be added. Shipping Mapping
  4. Enter the name of the shipping service.
  5. Select a ‘Supplier shipping service’ to map it to.
  6. Review the charge to use the service.
  7. Click the ‘Default’option if this should replace the previous default service.
  8. Repeat if necessary.
  9. The window will show ‘Unsaved changes’ until you click ‘Save’ to apply the changes.
  • The ‘Cancel’ button or the ‘Settings’ link in the top left hand corner of the window will return you to the ‘Settings’ window without applying any changes.

Delete a shipping mapping

  1. Locate the service to delete.
  2. Click the ‘X’ to the right of the entry.
  3. Confirm the deletion by clicking ‘OK’.
  4. The window will show ‘Unsaved changes’ until you click ‘Save’ to apply the changes.
  • You can cancel the deletion if you change your mind by clicking ‘Cancel’.
  • The ‘Cancel’ button or the ‘Settings’ link in the top left hand corner of the window will return you to the ‘Settings’ window without applying any changes.

Email notification

The ‘email notification’ module allows us to configure the recipients who will be contacted by Avasam, and when. Email notification

Add a new email recipient

  1. Search for a supplier in the ‘Supplier name’ field.
  2. Click the ‘Add email button’.A new entry will be added to the list. Add a new email recipient
  3. Enter the email address to receive notifications.
  4. The window will show ‘Unsaved changes’ until you click ‘Save’ to apply the changes.
  • The ‘Cancel’ button or the ‘Settings’ link in the top left hand corner of the window will return you to the ‘Settings’ window without applying any changes.

Delete an email recipient

  1. Locate the supplier by searching in the ‘Supplier name’ field.
  2. Find the email address you want to delete.
  3. Click on the ‘X’ button beside the email.
  4. Click ‘OK’ to confirm the deletion. Delete an email recipient
  5. The window will show ‘Unsaved changes’ until you click ‘Save’.
  • The ‘Cancel’ button or the ‘Settings’ link in the top left hand corner of the window will return you to the ‘Settings’ window without applying any changes.

Account Details

You can change your account details as follows:

  1. Update customer name
    a. Locate the ‘Full name’ field.
    b. Edit or overtype the value.
    c. Click ‘Save’.
  2. Update account emailaddress
    a. Locate the ‘Email address’ field.
    b. Edit or overtype the value.
    c. Click ‘Save’.
  3. Update account phone number
    a. Locate the ‘Phone number’ field.
    b. Edit or overtype the value.
    c. Click ‘Save’.
  4. Enable two-step authentication
    a. Avasam can support Google’s two-step authentication to secure your account. Select this option to open a window with a 2D barcode: 2D barcode b. Scan the QR code on your mobile device to setup Avasam with Google Authenticator.
    c. Once complete, log out.
    d. When you login again, Avasam will require a security code from Google Authenticator in order to access Avasam. login page

Change password

If you want to reset your password, then you can change it here, by clicking the ‘change password’ link. Change password

  1. Click the ‘change password’ link.
  2. Enter your old password in the ‘Old password’ field.
  3. Enter your new password in the ‘New password’ field.
  4. Re-enter the new password identically in the ‘Re-type password’ field.
  5. Click ‘Save’ to apply the change.
  • When changing passwords, new passwords must be different to the old password, or Avasam will return an error.
  • Passwords are case sensitive.
  • Use numbers, special characters and upper/lower case letters to enhance your password security.
  • Passwords do not include spaces.
  • Do not share your password – all users should have their own login.
  • Change your password regularly.
  • Do not use the same password for multiple apps or websites.
  • Google Authenticator is complementary to these tips, and does not replace that recommendation.
  • You can return to the main page at any time without updating the system by clicking on the ‘Settings’ link on the top left, or the ‘Cancel’ button.
  • To save the changes you have made and apply them, click on ‘Save’.

Address details

This section specifies the address/location of your company. Simply enter your address into the following fields:

  1. Address line 1 (*).
  2. Address line 2.
  3. Address line 3.
  4. Country (*).
  5. Postcode (*).
  • Fields with an asterisk (*) by them are compulsory, and must be completed.

SKU mapping

If you want Avasam to automatically recognise the correct Avasam Inventory SKU when the order is downloaded to Avasam, then you will need ensure they are mapped correctly.

Under the ‘SKU mapping’ heading, there is a drop down list labelled ‘Actions available’.

  • SKU mapping allows Avasam to send stock level updates to listings when the stock level changes.

Automapping

Selecting ‘Automapping’ prompts Avasam to attempt to map SKUs on Avasam and the selling channel automatically where they match.

  • Where there is even a small difference, such as a space or an additional character, the automapping feature will not link the SKUs.

Stock update

Selecting ‘Stock update’ forces an update of the stock level in Avasam to all currently mapped SKUs on this selling channel.

  • Stock update can only be triggered once per day.

Download

Selecting ‘Download’ prompts Avasam to check the sales channel for the most recent list of SKUs. It may not take effect immediately.

Create a new SKU mapping

  1. Click the arrow to the right of the title to open the ‘SKU mapping’ section. SKU mapping
  2. Find a SKU in the ‘Sales channel SKU’ list.
    a. You can use the ‘Search SKU’ box to filter the list.
  3. Click the SKU to select it.
  4. Find an ‘Avasam SKU’ in the ‘Avasam SKU’ list.
    a. You can use the ‘Search SKU’ box to filter the list.
  5. Click on the Avasam SKU to select (highlight) it.
  6. Click the ‘Map’ button.

Update mapping

  1. Click the arrow to the right of the title to open the ‘SKU mapping’ section. Update mapping
  2. Find a SKU in the ‘Sales channel SKU’ list.
    a. You can use the ‘Search SKU’ box to filter the list.
  3. Click the SKU to select it.
  4. Find an ‘Avasam SKU’ in the ‘Avasam SKU’ list.
    a. You can use the ‘Search SKU’ box to filter the list.
  5. Click on the Avasam SKU to select (highlight) it.
  6. Click the ‘Map’ button.

Remove an integration

  1. Click on the red ‘Remove account’ link.
  2. Click ‘OK’ to confirm. Remove an integration
  3. You will be returned to the sales channel list.
  • Click ‘Cancel’ if you change your mind. You will be returned to the sales channel integration.

Payment settings

You can store your preferred payment methods to save time paying your supplier invoices going forward.

To set the preferred payment card for Avasam invoice payment:

  1. Locate the card name from the ‘Default card’ dropdown list.
  2. Click ‘Set as default payment’.

To add a new payment card:

  1. Click on the ‘+’ button.
  2. In the ‘Add card details’ window, select ‘Credit card’. Payment settings
  3. Enter the long card number into the ‘Card number’ field.
  4. Enter the ‘Expiry date’.
  5. Enter the CVC/CVV into the appropriate field.
    a. Most cards have this 3 digit number on the signature strip.
  6. Tick the ‘Save for my next payment’ box.
  7. Click ‘Pay’.
  8. You will be returned to the ‘Payment settings’ window.
  • Click ‘Cancel’ if you change your mind.

Deleting a payment card

  1. Locate the card in the dropdown ‘Default card’ field.
  2. Click the button labelled with the image of a bin.
  3. Confirm the deletion.
  4. You will be returned to the ‘Payment settings’ window.
  • You can click ‘Cancel’ if you change your mind about deleting the payment method.

Auto pay preference

Select the event which will tell Avasam to pay invoices using your default payment card.

  1. Open the ‘Auto pay preference’ drop down menu.
  2. Select from the following options:
    a. Invoice creation: Pay as soon as an invoice is raised by the supplier.
    b. Deposit: Deposit money from the selected payment method to cover invoices when your balance reaches zero.
    i. You must specify the amount of the automatic deposit.
    c. Disable: Automatic payment is disabled.
  • The exclamation mark button will open a help window describing the purpose of the controls.

Apply changes

If you make any changes to the configuration, then you need to apply those changes.

To apply the changes:

  1. Click the button marked ‘Set as default payment’.
  • The ‘Cancel’ button or the ‘Settings’ link to the top left hand corner will return you to the settings menu without applying any changes.
